  • Responsibilities

    This non-exempt position works with the Purchasing department, under direct supervision of the Purchasing Manager, to compile and maintain data/records for multiple projects.

    Responsibilities:

    • Help to gather data regarding spend from vendors, subcontractors, and invoices as requested.
    • Work with HCSS to gather bid data on jobs Allan Myers has won, as requested.
    • Analyze the spend and bid data gathered in HCSS and CMIC, as required.
    • Set up and organize meetings with Purchasing Managers and Vendors/Subcontractors. 
    • Work with Purchasing Manager doing month buy-out analysis.
    • Generate and send Annual Subcontracts, Technical Services Agreements, Work Orders, Purchase Orders and Change Orders.  Follow up on outstanding contracts on a weekly basis.
    • Scan and save executed contracts into share point as needed.
    • Request and follow up on Certificates of Insurance as needed.
    • Maintain Purchasing Tracker and Sub/Vendor Lists.
    • Request and follow up on Certificates of Insurance as needed.
    • Send W-9 and Vendor Information Forms to new subs/vendors so they can be set up in our system.
    • Performs other job related duties as required or assigned.

    Qualifications

    • 1-3 years of experience in a similar role.
    • High School diploma or equivalent (GED) required.
    • Advanced degree in Accounting, Finance, or business related field preferred.
    • Experience in Construction industry preferred.
    • Must possess working knowledge of Microsoft Office applications.
    • Must possess strong analytical and time management skills.
    • Ability to maintain a high-level of accuracy.
    • Proficient in accounting/bookkeeping applications. CMiC a plus.
    • Must be detailed oriented and able to communicate and prioritize effectively.

    Physical Demands: Regularly requires the ability to sit, use hands/fingers, talk and hear. Occasionally requires the ability to stand, walk, reach, climb or balance, stoop, kneel or crouch. May occasionally requires the ability to lift up to 20 lbs. Requires the following specific types of vision: close, distance, depth perception and ability to adjust focus.

     

    Work Environment: May be exposed to the following environmental conditions: moving mechanical parts, fumes or airborne particles, outside weather conditions and vibration. Typical environment is quiet working conditions in an office setting
