  • Responsibilities

    Under the direction of the Project Administrator, the Project Administrative Assistant provides support to the Project Team. Acts as a liaison and coordinates administrative activities between field management, other departments, customers, vendors, subcontractors and other parties including regulatory and municipal/state agencies. Conducts all work in accordance with Allan Myers policies, procedures, and programs.

    • Collects, reviews, and submits certified payrolls to owner including 1st and 2nd tier subcontractors’ payrolls to comply with state and federal guidelines. Will maintain compliance logs for each project.

    • Assist with invoicing process. - working with project teams on properly coding invoices and reviewing for accuracy based off subcontract and/or purchase order agreements.

    • Collects appropriate documentation needed for material compliance - to include a copy of delivery and/or bill of lading with a CS-4171 or CS-4171LA form.

    • Assists with pulling supported documentations needed for force account submittals, such as, but not limited to: invoices, certified payrolls, etc...

    • Prepare and submit all pre-construction documentations needed prior to pre-con meeting to the owner.

    • Prepare plan and special provision binders for project teams.

    • The liaison with accounts payable and/or vendor regarding first level concerns on unpaid invoices.

    • Establishes and maintains basic control logs in CMiC including; project directory, contract log, correspondence log, submittal log, owner change order log and subcontractor account log and performs tasks related to the collection and entry of schedule data required to monitor project progress.

    Qualifications

    Experience & Education/Certification: 

    • High School diploma or equivalent (GED) required
    • Bachelor’s degree preferred. Continuing education in construction highly desirable.
    • Minimum 1-2 years’ project management administration or construction experience preferred.
    • OSHA 10-hour certification plus.

    Required Skills & Knowledge: 

    • Experience with construction applications a plus.
    • Proficient in Microsoft Office.
    • Must possess strong written and verbal communication skills.
    • Must be detail oriented, punctual, and work well within a team.

    Location:

    • Berks Road Office, 90% of the time and Field Office 10% of the time. Typical working hours of 7:00am to 4:00pm
